About Custom Columns

In the Patient Tracking Portal application, custom columns can display specialized patient information that does not appear already in standard list view columns. Custom columns can be setup to display text numbers, or dates.

Example

Examples of this information are Early Warning Sign scores (EWS), Waterlow or Braden scores (pressure sore scores), and MRSA dates. You would configure your EWS to be numeric and MRSA to be a date.

Permissions

  • Admin Tool Menu + Custom Columns Permissions are required to View/Edit Custom Columns in Dictionary Management

  • Users do not need special permissions to adjust the data in a custom column on a list view.

Basic Functionality

If custom columns are added to a list view, nursing unit staff can click in the column to edit the information.

ADT Integration

The custom columns can show information that is transferred from the hospital ADT system.

Example

  • Relating back to our EWS example, If the ADT system has an EWS score for the patient, that can be transferred to the EWS column.

Each custom column allows you to configure the Update Method which determines whether information transferred from the ADT system either:

  • Replaces existing information

  • Adds additional data to the column

If data transferred from a patient record in the ADT system does not match the format that the administrator sets for the column at the time that the list view is first opened, then the column appears blank for that patient.

Example

If the column is set up to accept only numerals (EWS) and the data from the patient record in the ADT system is in text format, then the column will be blank. If we send “Five” instead of “5” then our EWS column will not populate.

Visuals - Numeric Custom Columns Only

Numeric custom columns have thresholds to adjust a color in the list view.

Example

On our EWS column we configure it with threshold from 1 to 4 appear green (Low EWS) and values from 4 to 7 appear yellow (Medium EWS). This can give staff a visual indication that action might be required if numbers are in a certain range.

Editing Custom Columns

To Add, Edit, or Delete Custom Columns:

  1. Go to Admin Tool > Dictionary Management .

  2. Go to Admin > Settings > Capacity Management > Miscellaneous > Dictionary Management.

  3. In the Dictionary Name column, click the Custom Columns link.

  4. Do one of the following:

    1. To add, click Add to display the Custom Column>New Column page.

    2. To edit, under Column Name , click the name of a custom column to display the Custom Column>[Name of Column] page.

Numeric. Only numbers can appear in these columns.

EWS score, Waterlow, score, Braden score

  • In the Column Type list, select Numeric. After you save this selection, it cannot be changed.

  • In the Column Name box type the name that the user who is setting up the columns will see under View Options>Configure Columns.

  • In the List View Header Text box, type the name that the user who sees the list view will see at the top of the column.

  • In the ADT ID box, type the number that is used in the hospital ADT system to identify the type of information that will be in this column. If this type of information is in a patient record in the ADT system, it can be transferred between the ADT system and PatientTracking Portal®. In the ADT system, the information must be in numeric format.

  • Under Edit in List View, if the PatientTracking Portal® users should be able to edit the information in the list view, make sure that the green Enabled button appears. If the gray Disabled button appears, click it to change it to a green Enabled button. If this setting is disabled, then only information that comes from the ADT system can be in this column.

  • Under Score, if this column will be used to record scores, such as EWS or Braden scores, then make sure that the green Enabled button appears. If the gray Disabled button appears, click it to change it to a green Enabled button. If Score is enabled, then this custom column can be selected in the Score Type list when the Assessment Scoring Report is generated.

  • Under Color Thresholds, click Add 5 to add rows in which you will enter the acceptable ranges for the numeric value and the color that the numeric value will appear in for each range (for example values from 1 to 3 appear blue while values from 4 to 7 appear red). This gives the Patient Tracking Portal users a visual cue that values might be reaching a point where action is needed. If you leave some rows blank, they will be removed when you save. In the Start Value box, type the lowest number of each range. In the End Value box, type the highest number of each range. In the Color list, select the color in which the number should appear when it is within that range.

  • To remove a range, select the check box and click Delete Selected Records.

  • Click Save.

Date and Time. Only dates and times can appear in this column.

MRSA date

  • In the Column Type list, select Date Time. After you save this selection, it cannot be changed.

  • In the Column Name box type the name that the user who is setting up the columns will see under View Options>Configure Columns.

  • In the List View Header Text box, type the name that the user who sees the list view will see at the top of the column.

  • In the ADT ID box, type the number that is used in the hospital ADT system to identify the type of information that will be in this column. If this type of information is in a patient record in the ADT system, it can be transferred between the ADT system and Patient Tracking Portal. In the ADT system, the information must be in date/time format.

  • Under Edit in List View, if the PatientTracking Portal® users should be able to edit the information in the list view, make sure that the green Enabled button appears. If the gray Disabled button appears, click it to change it to a green Enabled button. If this setting is disabled, then only information that comes from the ADT system can be in this column.

  • Some scores at your organization might be recorded in date format. Under Score, if this column will be used to record scores, then make sure that the green Enabled button appears. If the gray Disabled button appears, click it to change it to a green Enabled button. If Score is enabled, then this custom column can be selected in the Score Type list when the Assessment Scoring Report is generated.

  • Select how the date and time will be displayed. You can show 1) the date and the month, 2) the date, month, hours, and minutes, 3) the date, month, and year, or 4) the date, month, year, hours, and minutes. Dates will appear in list views in the format selected in the Admin Tool or in Admin > Settings > Capacity Management for your hospital system (for example, 22/07 for July 22 or 07/22 for July 22).

  • Click Save.

Text. Only alphanumeric characters and text can appear in this column.

Comments

  • In the Column Type list, select Text. After you save this selection, it cannot be changed.

  • Select whether information transferred to PatientTracking Portal® from a patient record in the hospital ADT system will either replace or be added to information that is already in the column in Patient Tracking Portal®. In the Update Method list do one of the following. To replace, select Overwrite. To add to, select Append.

  • Click Save.

Delete a Custom Column

You cannot delete a custom column that is on a Patient Tracking Portal list view. The column must be removed from all list views before it can be deleted.

  1. Do one of the following on the Dictionary Management>Custom Columns page:

  2. To delete all custom columns, select the check box in the first row and first column of the page.

  3. To delete individual custom columns, select the check boxes for them.

  4. Click Delete Selected Records.

  5. When a confirmation message appears, click OK.
