Instant Notify
Instant Notify allows users to send short instant messages to individual users or pre-configured notification groups who have alpha paging devices or who have selected email or screen alert/handheld notification delivery methods through My Notifications. This feature is used to reduce phone traffic and improve communication efficiency. It is primarily used by users with alpha paging devices or those who have selected email or screen alert/handheld notification delivery methods. The purpose is to send non-urgent messages, such as notifying Patient Placement about room maintenance, quickly and efficiently, reducing phone traffic and allowing hospital staff to focus on urgent matters.
Where you can find this feature: Capacity IQ® EVS, Patient Tracking Portal, Capacity IQ® PreAdmit, or Capacity IQ® Transport. Notifications appear on the My Notifications tab and Messages appear on the Screen Alerts tab.
How Instant Notify Works
Functionality
Instant Notify allows sending messages to users with specific notification delivery methods (Paging Device, Screen Alert, or Email).
An example of when it would be appropriate to send an Instant Notify would be to let Patient Placement know a room needed blocked for maintenance.
Instant Notify should not be used to communicate emergencies.
If a notification group includes users who do not have alpha paging devices or who did not select notification delivery methods on the My Notifications tab, the message will not be sent to those users.
If you send an instant message to a user who selected Email as a notification delivery method, the user will receive the instant message in an email.
A tooltip stating that "Some users in this group may not receive this message" will appear if some users did not receive the message.
Once you have received a message via Instant Notify, you can respond to it directly from the Screen Alert.
Users must have the Access Instant Notify permission for the Patient Tracking Portal, Capacity IQ® PreAdmit, Capacity IQ® Transport, or Capacity IQ® EVS application.
When sending an instant notification/message:
A confirmation message appears at the top of the Instant Notify dialog box, indicating that a message has been sent.
Avoid hitting the Send button multiple times to prevent resending the message.
A pop-up message will alert you if sending to 25 or more users.
This is normal and you can proceed.
If the number of recipients exceeds the maximum allowable number, a warning message appears. You can still send the message by clicking OK.
To avoid a possible adverse effect on performance and on the paging system, you might want to remove some recipients and send a separate message to those who were removed.
However, you can still send the message without removing recipients.
Messages are reportable, so be mindful of the content.
Include campus identifiers if your Patient Placement department covers multiple hospitals.
For example, if sending a message from General Medical Hospital, a message like the following could be sent to ensure staff see the correct message: ‘GMH-please block bed 408 for maintenance’
Users are only available to receive a message/notification if they are logged into the system or the current time is within the time range they've elected to receive notifications.
EVS associates must be logged in with a valid device i.e. pager or mobile to receive a message/notification.
If you enter a long message, some of the text might be truncated on some paging devices.
After sending a message/notification a confirmation appears stating that the message has been sent.
This does not mean that all recipients have received the message.
Workflows
Sending an Instant Notification
Click the Instant Notify icon.
In the Instant Notify window, select Users and Groups by typing a few letters of the User or Group and selecting the desired recipient. Repeat for additional recipients.
Type your message into the Message field.
Click Send to submit the message.
A notification confirms the message has been sent.
You can send another message or close the window using the Cancel button.
Replying to an Instant Notify
Access the Screen Alerts dialog box by clicking on the Alerts icon.
On the Screen Alerts webpage, click Reply or Reply All next to the received message.
Type the reply message and click Send.
Sending an Instant Message
Access the Instant Notify dialog box by navigating to one of the following:

Select the users or group of users (such as Unit A Caregivers) who should receive the message:
In the Search Users and Groups list, type the first or last name of a recipient or a notification group name. Select the name from the list.
If needed, remove names of users in the group who should not receive the message by clicking the + sign next to the group name and then the X beside individual names.
Type the message in the Message box (maximum 2000 characters; paging devices will be limited to the number of characters allowed by the device).
Click Send.
Replying to an Instant Message
Access the Screen Alerts dialog box by clicking on the Alert icon at the top of the screen.
Click Reply to start a new message for the sender of the original message or click Reply All to start a new message for the sender and all members of the notification group.
Type the reply message.
Click Send.
