Employee Performance Report

The Employee Performance Report provides information on transport job performance for all transporters over a selected time period. The data provided is inclusive of all jobs transporters complete, including patient and item jobs. This report is a great way to compare the performance of transporters with similar shifts and assignments to ensure they are all as productive as possible to meet the demands of your department.

Generating The Employee Performance Report

Database - Where Your Facility's Data Is Stored

  • Production - Data that is stored in the production database (this is your current data).

    • Use when live up-to-the-minute data is needed.

    • Contains the data from the current time and for the past number of days as defined in Archive Management. This is typically 7 days but may range between 1 and 30 days. If you do not know the number of days, your TeleTracking System Administrator should be able to assist.

  • Archive - Data that is stored in the archive database (this is your older data).

    • Does not capture data for the current day.

    • Users can access reports as far back as the go-live date.

Campus

  • Campus Drop-Down

    • Defaults to your campus. The only exception is if you have access to multiple campuses. If you have membership in multiple campuses (for example, ABC Children's Hospital and ABC Women's Hospital), then in the Campus list, select the campus for which you wish to generate a report.

Date & Time

  • Date Time Range

    • Click on the Calendar Icon to select the needed dates.

    • The system defaults to the entire day however, you may want to isolate specific shifts if you are trying to investigate issues with not meeting metrics.

Search By

  • Employee

    • Defaults to include all transporters (recommended).

    • Click on the magnifying glass to choose a specific transporter.

  • Employee Category

    • Will run the report only for the chosen category. You must have these categories built-in dictionary management to use this option (not commonly used).

Output

  • Choose the format of the report data. Options include Adobe, Excel, or Excel Unformatted.

Run Report

  • Click Run Report once all fields are populated.

Above is an example of the Employee Performance Report. We will now break down the information to learn how to read the data. There is a lot of information in this report. The Best Practice Metrics are denoted with an * and other common metrics to pay attention to are denoted with **. All Best Practice Metrics should be captured from the Summary Totals which you will find at the end of the report.

Note: To truly evaluate a transporter, measure a combination of metrics including:

  • Dispatches Per Hour

  • Productive/Available Hours

  • Average Minutes-Dispatched to Complete

Using a single metric can be misleading. For example, a transporter may be productive 95% of the time but they are only dispatched on 1 to 2 jobs per hour, and their dispatched to completed time is far higher than other transporters. In this specific example, the transporter is not as fast as the other department transporters with their jobs.

  • No. of Dispatches - Total number of times an employee entered a Dispatched Status during the date and time range.

  • *Dispatches Per Hour - Average number of times employees entered a Dispatched status for each hour they were signed in. This is the value for the Transporter Trips per Hour Best Practice Metrics.

    • Note: Time spent on break or at lunch is not included in the calculation used to determine the dispatches per hour. The calculation is the Number of Dispatches / (Hours Logged In minus the number of minutes spent on break or at lunch).

  • Dispatched Hours - Total time in hours the employee was in any Dispatched status during the date and time range.

  • In Progress Hours - Total time in hours the employee was in any In Progress status during the date and time range.

  • **Productive Hours (Includes %) - Sum of Dispatched Hours + In Progress Hours.

    • Note: Productive % provided. The calculation is Productive Hours / (Productive Hours + Available Hours).

  • No. of Breaks - The number of times that the employee was on a Break, Unscheduled Break, or Lunch status during the selected date and time range.

  • Break/Lunch/Available Hours - Total time in hours that the employee was on Break, Unscheduled Break, Lunch, or Available status during the selected date and time range.

  • **Available Hours (Includes %) - The number of hours that the employee was in an Available status.

    • Note: Available % provided. The calculation is Available Hours/(Productive Hours + Available Hours).

  • Delay Count - The number of times the employee entered a Dispatched/Delayed or an In Progress/Delayed status during the selected date and time range.

  • *Hours Of Delay - Total time in hours that the employee entered a Dispatched/Delayed or an In Progress/Delayed status during the selected date and time range. This is the value for the Delay Time Best Practice Metric.

  • **Average Minutes Dispatched Per Call - Average number of minutes that the employee was dispatched per call.

    • Note: The calculation for this value is: The total number of minutes the employee spent in a Dispatched and Dispatched-Delayed status/ Total Number of dispatches.

  • Hours Logged In (Less Break/Lunch) - The total time in hours the employee was signed into TransportTracking during the selected date and time range.

    • Note: Value excludes time spent in Lunch, Unscheduled Break, and Break status.

  • *Average Minutes - Dispatched to Completed - Average number of minutes from entering a dispatched status to completed status. This is the value for the Transport Time on Task Dispatched to Complete Best Practice Metric.

    • Note: The calculation for the value is: (Dispatched Hours + Dispatched-Delayed Hours + In Progress Hours + In Progress-Delayed Hours)/Number of dispatches.
