Introduction
PreAdmitTracking® is used by healthcare professionals, including hospital administrators, bed managers, and clinical operations staff, to monitor and manage patient placements, admissions, and discharges in real-time throughout the patient admission, placement, and discharge processes. It is utilized within hospital systems, including Clinical Operations, Capacity IQ® Solution, and the PatientTracking Portal. This application is essential for streamlining hospital workflows by providing an organized platform for tracking patient status, managing available beds, and ensuring smooth patient transitions within healthcare facilities.
PreAdmitTracking® Application Console Overview
The PreAdmitTracking® application console provides healthcare professionals with essential tools for managing patient placements, monitoring admissions, and tracking discharges. The system offers three primary list views to facilitate operational efficiency:
Placement List View: Used for monitoring patient placements.
Admits Today List View: Displays newly admitted patients within a selected date range.
Pending/Confirmed Discharges List View: Tracks patients scheduled for discharge.
Additionally, a Patient Search List View allows users to find specific patients based on search criteria.

Permissions Required
To effectively use the PreAdmitTracking® application, specific permissions are necessary:
Access Placement List Views: Required to access placement list views.
Activate Placement: Needed to activate a patient placement.
Deactivate Placement: Required to deactivate a patient placement.
Access Pending/Confirmed Discharge: Necessary for viewing pending and confirmed discharges.
Workflows
Activating a Placement Request
Navigate to the Placement tab or go to Clinical Operations > PreAdmitTracking Application > Tab.
Apply filters to locate the patient requiring placement activation.
Follow on-screen prompts to activate the placement request.
Accessing the List View in PatientTracking Portal
Go to PatientTracking Portal > List Views.
Select the instance name or click the Custom Views icon.
Choose the desired list view tab.
Select the units where the beds are located.
Use the magnifying glass icon to open the Unit dialog box.
Choose the campus name to view available units.
Select the desired units and click Add.
Organize unit order if needed, then Save.
Locate a patient row and click the Procedure column to access procedures and precautions.
List Views and Bed Management
List views assist healthcare professionals in tracking patient placements and managing hospital resources efficiently. These views are accessible through the PreAdmitTracking® application console and Clinical Operations.
Filtering in Patient Tracking
Allows users to filter by Last Name, Bed, Social Security Number, or Medical Record Number (MRN).
Calendar icons enable filtering by specific dates.
Specific List Views
Patient Search List View: Displays patients matching the search criteria within the system's membership.
Pending/Confirmed Discharges List View: Shows patients with Pending Discharge or Confirmed Discharge statuses.
Admits Today List View: Displays patients admitted today or within a selected date range.
Accessing Bed or Employee Lists
Users can view All Beds, Occupied Beds, or Employee Lists.
Available through BedTracking®, Care Support, or Capacity IQ® Solution.
The Bed Dashboard provides an overview of bed statuses.
Copying List View Layouts and Bedboard View Options
Users can copy column layouts, sorting preferences, and width configurations.
Accessed through the Copy View Options tab in Console Settings.
Setting a Target Unit or Assigning a Bed
Users must have permissions to Edit Unit Requested on a Placement and Assign Bed on a Placement.
Only units and beds within the user's membership are available for selection.
Workflows for Assigning Beds
Selecting a Target Unit
Open the Target Unit/Assigned Bed dialog box.
Click the magnifying glass next to the Unit box.
Expand the campus name (+) to reveal associated units.
Select the desired unit and click Select.
Assigning a Bed
Open the Target Unit/Assigned Bed dialog box.
Enter part of the bed identifier to filter options.
Use the Search Text box to find location names.
Click Click to Search and select the appropriate bed.
Bed Search
Allows users to find the optimal bed based on attributes such as:
Bed Status
Assignment Priority
Level of Care
Discipline
Bed Attributes
Accommodation Type
Selecting a Bed
Click the bed identifier to select it.
To remove a selected bed, press the Delete key.
Click Save to confirm the assignment.
Warnings
A warning appears if a patient with the same last name already:
Resides in the home, current, or specialty location.
Has an assigned or targeted bed in the selected unit.
Has an active transport job related to the unit.
