Icons and Icon Management

Administrators and unit staff use this feature to manage visual representations of patient attributes, staff types, and care type statuses. The feature exists to provide quick visual identification and consistent configuration of various items within Capacity IQ® and the Patient Tracking Portal. It is used during system configuration, routine operations, and workflow adjustments.

Feature Location: Located in Admin > Settings > Capacity Management.

How Icons Work

Functionality

Patient Attribute and Attribute Category Icons

  • Representation: Icons represent individual patient attributes (e.g., Fall Risk, Hard of Hearing, Cardiac) and may appear as column headings.

  • Usage: For each patient with a specific attribute, the corresponding icon appears in the column, providing an at-a-glance status overview.

  • Configuration: Administrators select icons in the Dictionary Management section of the Admin Tool or via Admin > Settings > Capacity Management.

  • Interaction: To assign a patient attribute, click in the corresponding cell in the Patient Attribute column so that the icon appears; click the icon to remove the attribute.

  • Attribute Categories: Columns representing attribute categories (e.g., Interventions or Special Care) allow assignment or removal of patient attributes. Depending on the configuration, multiple attributes may be assigned, and the column heading can display as an icon or as text.

Uploading Icons for Floor Plans and List Views

  • Purpose: Icons depict staff types, patient attributes, Ready-to-move statuses, and transport job statuses on floor plans, as well as patient attributes in Patient Tracking Portal list views.

  • Prerequisite: Upload icon (graphic) files before configuring patient attributes, staff types, or floor plan settings.

  • File Requirements: Acceptable file types include .icon, .png, and .gif; image dimensions must not exceed 128 x 128 pixels.

  • Permissions: The administrative permission "Icon Management" is required with Edit rights. Users with View rights can only see the icons without making changes.

Default Care Type Status Icon Configuration

  • Context: In Capacity IQ®, ancillary care is organized into care progression groups (e.g., Occupational Therapy, Physiotherapy, Social Work) with multiple care types.

  • Visual Representation: In the Patient Tracking Portal, a care progression group column displays an icon representing the overall status. If one care type is delayed, the delayed status icon is shown.

  • User Interaction: Hovering over the column reveals individual care type statuses. In the Set Care Progression Details dialog, clicking an inactive icon changes the status to active. For example, clicking the gray, inactive In Progress icon for Neurological Rehabilitation will make the icon active and update the care type status accordingly.

  • Configuration: Administrators configure care progression groups and care types in the Admin Tool or via Admin > Settings > Capacity Management.

  • Permissions: To configure care progression groups and care type statuses, administrators must have both the Admin Tool Menu permission and the Care Progression Group Setup permission.

Custom Column Icon Association

  • Issue: Imported icons via Icon Management may not immediately appear when adding a custom column in the portal.

  • Requirement: Icons must be associated with either a patient attribute or an isolation type before they can be used as a custom column.

  • Configuration Process: After importing an icon, assign it to a new patient attribute or isolation type, enable its display on the Electronic Bedboard®, and then add it through the portal’s custom column configuration.

Workflows

Uploading Icon Files

  1. Open the Icon Management page by either:

    • Navigating to Admin Tool > Icon Management, or

    • Navigating to Admin > Settings > Capacity Management > Miscellaneous > Icon Management.

  2. Next to Select an Image, click Browse and choose the desired file from your local or network directory.

  3. Verify that the Image Name box displays the selected file name; optionally, edit the text to indicate what the image represents (e.g., Charge Nurse or Fall Risk).

  4. Click Upload to add the icon.

  5. To remove an icon, select its checkbox and click Delete Selected Records.

Setting Default Care Type Status Icons

  1. Ensure that the icons for Completed, Delayed, and In Progress statuses have been uploaded via Icon Management.

  2. Access the Care Progression Group Configuration page by either:

    • Navigating to Admin Tool > Care Progression Groups > Care Progression Group Configuration, or

    • Navigating to Admin > Settings > Capacity Management > Care Progression Groups > Care Progression Group Configuration.

  3. In the Active Icon column for each status (Delayed, Ordered, In Progress, and Completed), click the magnifying glass icon to open the Select an Image window.

  4. Select the icon that should represent the active status and click OK.

  5. In the Inactive Icon column, repeat steps 3 and 4 to select the corresponding inactive icon.

Associating Icons for Custom Columns

  1. Import the icon via the Icon Management page using the Browse and Upload process.

  2. Navigate to Admin > Settings > Capacity Management > Dictionary Management and select the patient attribute or isolation type section.

  3. Add a new patient attribute or isolation type and choose the newly imported icon under the display icon option.

  4. Enable the Show on the Electronic Bedboard® option and save your changes.

  5. In the portal, load the appropriate console.

  6. Go to View Options > Configure Columns and drag the new icon into one of the groups.

  7. Click Save to update the console configuration.
