Bed Status
Bed Status is used to indicate the current state of a bed within the Capacity IQ® EVS application. This feature is used by hospital staff to manage bed availability, cleaning schedules, and patient assignments. It ensures efficient bed management and helps maintain hospital hygiene standards.
Where you can find this feature: Bed Details Window, Employee List, Occupied Beds List, All Beds List, Bed Status Column in Capacity IQ® EVS console.
How Bed Status Works
Functionality
Bed Statuses are defined as follows:
In Progress (Yellow): Indicates that an employee is currently cleaning the bed. This status is removed when the cleaning is suspended or completed.
Delayed (Tan): Indicates that bed cleaning has been delayed. The Delayed column shows the duration of the delay.
Suspended (Dark Green): Indicates that bed cleaning has been suspended. The same employee can resume the job or a supervisor can reassign it.
Dirty (Brown): Indicates that the bed is ready to be cleaned. Special indicators may show pending admissions or transfers.
Stat (Red): Indicates that the bed should be cleaned immediately.
Clean Next (Grey): Indicates that the bed should be cleaned after the current job.
UDEF-8 (Light Blue) or UDEF-9 (Dark Blue): User-defined statuses for special conditions like "Contagious."
Blocked (Black): Indicates that the bed is not available for patient use due to maintenance or other reasons.
Clean (Light Green): Indicates that the bed has been cleaned and is available for a new patient.
Occupied (Orange): Indicates that a patient is currently associated with the bed.
Bed and Room Status Definitions
Assigned Bed Status: Displays the current status of the bed, such as Dirty or Clean Next. Tooltip shows the status name if delayed.
Workflows
Changing Bed Status
You can change a bed's status from various lists or the Bed Details Window. Permissions are required for different status changes.
Selecting Bed Action Types for Cancelled Admissions or Transfers
In the User Defined Action Types section, select the desired action for cancelled admissions or transfers.
Click Save.
How to Change Bed Status
Access the bed list from the Bed Dashboard or relevant list views.
Click the bed status name.
Click Change Bed Status to access the dialog box.
Select the desired action from the Action list.
Click Submit.
Blocking a Location
Current status must be: Clean, Dirty, Stat, Clean Next, Occupied, Suspended, UDEF-8, or UDEF-9.
Permission Required: Block Beds.
Select Block Location from the Action list.
Select a reason from the Reason Code list.
Click Submit.
Releasing a Block
Current status must be: Blocked.
Permission Required: Un-Block Beds.
Select Release Block from the Action list.
Select the new status from the New Status list.
Click Submit.
Releasing a Delay
Current status must be: Delayed.
Permission Required: Release Delayed Bed Cleaning.
Select Release Delay from the Action list.
Click Submit.
Creating a Cleaning Request
Current status must be: Clean, Occupied.
Permissions Required: Requester Workflow or Employee Workflow.
Select Create Cleaning Request from the Action list.
Select a status priority from the New Status list.
Click Submit.
Cancelling a Cleaning Request
Current status must be: Dirty, Stat, Clean Next, In Progress, Suspended, UDEF-8, or UDEF-9.
Permission Required: Cancel Cleaning Request.
Select Cancel Cleaning Request from the Action list.
Select a reason from the Reason Code list if required.
Click Submit.
Changing a Cleaning Request Priority
Current status must be: Dirty, Stat, UDEF-8, or UDEF-9.
Permission Required: Requester Workflow.
Select Change Cleaning Request Priority from the Action list.
Select a status priority from the New Status list.
Click Submit.
Setting Location Clean
Current status must be: In Progress, Occupied, Suspended.
Permission Required: Transition Bed to Clean.
Select Set Location Clean from the Action list.
Click Submit.
Creating a Spill Clean Request
Current status must be: Clean, Occupied, Blocked.
Permission Required: Create Spill Request.
Select Create Spill Request from the Action list.
Select the spill type from the Spill Type list.
Click Submit.
Changing the Spill Type on a Spill Clean Request
Current status must be: Clean, Occupied, Blocked, with a spill request already created, but not in progress.
Permission Required: Create Spill Request.
Select the status name with an S in a circle.
Select the new spill type from the Spill Type list.
Click Submit.
Cancelling a Spill Request
Current status must be: Clean, Occupied, Blocked, with a spill request already created, but not in progress.
Permission Required: Cancel Spill Request.
Select the status name with an S in a circle.
Select Cancel Spill Request from the Action list.
Click Submit.
Reoccupying a Bed Marked Clean by Mistake
Current status must be: Clean.
Permission Required: User May Reoccupy Patients.
Select the Clean status from the Bed Status column.
Click Reoccupy Patient from the menu.
Select the appropriate patient and click Reoccupy.
Click Close to finish.
Windows Service Changes Bed to Clean Status
Ensure the patient transfer is an Intra-unit transfer.
Navigate to Admin > Settings > Capacity Management > Logical Structure > Units.
Enable the "Dirty Bed on Intra-unit Transfer" setting.
Click Save.
Blocking a Bed
Click the electronic bedboard icon.
Select the bed and click Bed Status.
Select Block Location from the Action list.
Select a reason from the Reason Code list.
Click Submit.
Unblocking a Bed
Click the electronic bedboard icon.
Select the bed and click Bed Status.
Select Release Block from the Action list.
Select the new status from the New Status list.
Click Submit.
Accessing the List View
Go to Patient Tracking Portal > List Views.
Select the desired list view.
Configure the units to display.
Click Save.
Reoccupying a Bed from a Bed List
Select the Clean status from the Bed Status column.
Click Reoccupy Patient from the menu.
Select the appropriate patient and click Reoccupy.
Click Close to finish.
