Occupied Bed

Occupied Beds are used to track the status and details of beds currently occupied by patients. This feature is essential for hospital staff to manage bed availability and patient assignments efficiently. It is used by healthcare providers, administrative staff, and bed management teams to ensure optimal bed utilization and patient care.

Where you can find this feature: BedTracking® > List Views > Occupied Beds, Care Support > BedTracking® > Occupied Beds icon, or Care Support > BedTracking® > > Occupied Beds icon (for multiple instances of the Capacity Management Suite® Solution).

How Occupied Bed Works

Functionality

  • Occpd Date Time: The time the patient began to occupy the bed. Hover over the time to view the full date and time. This information is not available in the Pending/Confirmed Discharges List view. The format is based on Date Time Settings in the Admin Tool or Admin > Settings > Capacity Management component.

  • Viewing the Occupied Beds List and Bed Details: On the Bed Dashboard, select a number in one of the status columns under the Daily Clean header. The list appears filtered by the selected status column and area (Campus, Building, Floor, Section, Cluster, Unit, Zone).

  • Using the Occupied Beds List: For instructions, see Bed Lists in Accessing Bed Information.

Occupied Bed List Column Descriptions

  • Bed: The bed name, abbreviation, or IVR ID code. Hover to see other identifiers. Click to display the Bed Detail window.

  • Room Acc (Room Accommodations): The type of accommodation (e.g., private or semi-private).

  • Size: Indicates if the bed is for an adult, child, or infant. Click to change the size.

  • Status: The bed status (Occupied or PROC). Additional indicators for spill cleaning jobs may appear.

  • Status Time: The time the bed entered its current status.

  • Admitted: The date and time the patient was admitted to the bed.

  • Patient Status: The status of the patient (e.g., Pending Discharge, Confirmed Discharge).

  • Patient Name: The patient's name.

  • Current: The patient's current location. Hover to see other identifiers.

  • Patient ID: The patient's medical record number or visit number.

  • Physician: The attending physician. Hover to view the admitting physician's name.

  • Age: The patient's age. Hover to view the date of birth.

  • Iso Type: The isolation type associated with the patient. The background color may indicate the type.

  • Room: The abbreviation for the room needing daily cleaning.

  • Daily Clean Status: The current status of the daily cleaning job, color-coded and with a thick border.

How to Have a Patient Occupy an Already Occupied Bed

Admitting processing the change

  1. Contact the admitting department to send an A02 order through the interface to move the current patient to another unoccupied bed.

  2. Once the bed is cleaned, send a new A02 order to place the patient in the needed bed.

  3. If the admitting department cannot complete the request, manually put the patient in the bed.

Manually making the changes

Confirm bed is occupied

  • You will want to confirm that the bed is occupied, and not just another status.

    • Click BedTracking

    • Select your campus (if there is more than one)

    • Select your unit

      • You have to click Select then select your unit from the list

      • Click Apply

  • Find your bed and verify the bed status column.

  • If the bed shows dirty and is actually clean, you can manually clean the bed.

    • Once clean, move your patient to the bed.

Moving Patient to a Clean Bed Manually

  1. Move the patient to a clean bed within the same unit.

  2. Update the admitting department to prevent new orders from overriding manual changes.

  3. Clean the bed if it shows as dirty.

Cleaning a Bed

  • Click on the dirty bed status

  • You will get a pop-up and here you will click the drop-down for action.

  • You will select Cancel Cleaning Request

  • The reason code you will want to select what is appropriate for your facility.

  • Select Submit

  • If bed stacking is enabled, and you already requested the bed for your patient they will move right into occupying the bed.

Putting in the Transfer Request Manually

  • If you did not already put the transfer request in for your patient, you will need to pull up your patient.

    • You will need to pull up the Patient Search within PatientTracking Portal.

  • Click on your patient

  • Under Patient action, select Create Bed Request

  • Select the Target unit and Assigned Bed

  • Select Save and Close

In Patient Search within PatientTracking Portal, after selecting your patient,

  • Under Patient action, choose Transfer Patient

  • Select Home Location

  • Pick your unit and location and click Select

  • Click Save and Close

  • Either available option will move your patient to the bed you select for them.

    Anything that you do manually make sure to update your admitting dept. This will prevent any new orders coming through the interface to override what was manually done.
