The Patient Placement Specialist (View Only) role is designed for users who need access to patient transfer information but do not require editing capabilities. This role supports clinical staff, coordinators, or team members who assist in the transfer workflow by viewing case details, tracking bed requests, and reviewing referrals, without directly modifying any data.

This role ensures patient information is accessible for review while maintaining data integrity and security by restricting editing rights.


User Role Setup: Patient Placement Specialist (View Only)

  • The View Only role must be assigned to a user account by an Application Admin.

  • Once assigned, users can access Access > Transfers, where they will be taken to a view-only screen.

  • Users with this role:

    • Can see patient case lists and statuses.

    • Click the paper icon next to a case to view more patient details.

      • The Pencil Icon will be missing for someone with the Patient Placement Specialist (View Only) Role.

    • Cannot make any changes to patient information.

  • All interactions are read-only, including viewing consultation notes, referral details, and bed request statuses.


Patient Placement Specialist – View Only Mode Overview

Users assigned the View Only role can perform the following actions:

  • Review transfer cases received from other facilities or systems

  • View patient demographics, clinical details, and consultation notes

  • Track bed request statuses submitted to the Bed Placement team or Capacity IQ®

  • Download any attached Protocols and Documents

  • Use the Case Print functionality

  • Review referral information from external providers or organizations

Important Notes ⚠️

  • View-only users cannot open a referral. Referral information is accessible only via the Referral Grid columns

  • View-only users cannot update, submit, or modify any case details

  • To make changes, users must be assigned the full Patient Placement Specialist role


How to View a Case

  • Navigate to the Cases List.

  • Click the paper icon next to any case to open it in View Only Mode.

  • The case will open with all patient and case information visible, but not editable.
