Ready To Move Timer Metrics Report

The Ready To Move (RTM) Timer Metrics Report identifies compliance for requesting areas activating the RTM timer. The RTM timer is a crucial step in the bed request process. Making sure the RTM timer is being used appropriately will ensure Patient Placement is alerted through the system that the requesting area is ready for Patient Placement to assign a bed. If this timer is not consistently used when appropriate it can lead to delays in assigning beds. There are several data points captured in the RTM Timer Metrics Report, however, the following is the key metric to monitor.

Generating the Ready To Move Timer Metrics Report

Database - Where Your Facility's Data Is Stored

  • Production - Data that is stored in the production database (this is your current data).

    • Use when live up-to-the-minute data is needed.

    • Contains the data from the current time and for the past number of days as defined in Archive Management. This is typically 7 days but may range between 1 and 30 days. If you do not know the number of days, your TeleTracking System Administrator should be able to assist.

  • Archive - Data that is stored in the archive database (this is your older data).

    • Does not capture data for the current day.

    • Users can access reports as far back as the go-live date.

Campus

  • Campus Drop-Down

    • Defaults to your campus. The only exception is if you have access to multiple campuses. If you have membership in multiple campuses (for example, ABC Children's Hospital and ABC Women's Hospital), then in the Campus list, select the campus for which you wish to generate a report.

Group By

  • Group By Drop-Down

    • Group By allows you to choose how you want the report data sorted.

  • Origin Unit (most common): Select when you want to run metrics for bed requests leaving a specific unit.

    • Note: Data appears by the user who requested the placement, by target unit, or by origin unit, depending on criteria selected by the user who generated the report.

Unit Selection

  • Magnifying Glass

    • Clicking on the magnifying glass allows you to select specific units.

    • If no units are selected, the report will run for all units by default.

Date & Time

  • Request Date

    • Click on the Calendar Icon to select the needed dates.

  • Shift Time

    • The system defaults to the entire day, however, you may want to isolate specific shifts if you are trying to investigate issues with not meeting metrics.

    • Only placements with requested dates within the selected date range and the selected shift appear in the report. However, if a shift starts on the end date of the report date range and ends on the next day, data from the entire shift will be included in the report.

      • For example, if the end date of the report is March 19, 2024, and a shift started at 11:00 PM on March 19 and ended at 7:00 AM on March 20, then data from the entire shift, including the part on March 20, will be on the report.

Standard Deviation

  • Include Standard Deviation

    • Standard Deviation is the average distance from the average Ready to Move time for compliant placements.

    • Leave this set to Yes.

Summary View

  • Summary View - Select Yes (most common): Displays total durations, average durations, group durations, and group standard deviations.

    • Leave this set to Yes.

  • Summary View - Select No: Displays per unit or per user, detailed information such as the request time and the bed that was occupied.

Output

  • Choose the format of the report data. Options include Adobe and Excel.

  • Adobe Acrobat (Summary View) - Here is the summary view using Adobe Acrobat. This list counts per unit or user for each day.

  • The following information is displayed on the summary report for each user or target unit or origin unit, for each day within the date range selected.

  • Requested Date of the placement.

Day of the Week

  • The day of the week on which the requested date occurred.

Total Records

  • The total number of placements for this requested date for this user or unit.

Compliant Records

  • The total number of placements for this requested date and this user or unit for which the patients have been marked Ready To Move.

Invalid Timers

  • The total number of completed placements with this requested date for this user or unit that have negative Ready to Move timer durations (Total Records minus Total Compliant Records).

Total Duration

  • Total Ready to Move time for all compliant placement records for this requested date for this user or unit. Invalid timers are excluded.

    • Example: Two compliant placements have the same requested date. For one placement, twenty minutes elapsed between the time that the placement request was activated and the time that the patient was marked Ready to Move. For the other placement, 40 minutes elapsed. The total duration for the requested date is 60 minutes.

Average Duration

  • Average Ready to Move time duration of all completed placement records with this requested date (Total Records divided by Total Compliant Records).

Standard Deviation

  • The Average distance from the average Ready to Move time for compliant placements. The user who generates the report can choose to include or exclude standard deviation.

Group Duration Average

  • The Average occupied time duration of all compliant placement records for the unit or user within the selected date range and shift.

Group Standard Deviation

  • The Average distance from the average Ready to Move time for compliant placements for the unit or user within the selected date range and shift. The user who generates the report can choose to include or exclude standard deviation.

Invalid Timer Values

  • The Number of placements with negative occupied timer values for the unit or user within the selected date range and shift.

# of # for % of placements were excluded (missing RTM dates and times)

  • The Number of the total completed placements for this unit or user that were excluded from calculations because they did not have Ready to Move dates and times. The percentage of placements that were excluded for this reason also appears.

  • Excel (Detailed View) - The detailed report displays specifics about completed placements per target or origin unit or per requesting user, such as the occupied bed, the requested time, and the time that the patient was marked ready to move.

  • The following information is displayed on the detailed report for each user or target unit or origin unit, for each day within the date range selected.

  • Requested Date of the placement.

Day of the Week

  • The day of the week on which the requested date fell.

Patient Name

  • The last and first name of the patient associated with the placement.

Target Unit (only if data is grouped by user or origin unit)

  • The Target Unit selected for placement.

Requested by User (only if data is grouped by target unit)

  • The user who requested the placement.

Bed Occupied

  • The abbreviation of the bed that the patient occupies.

Request Time

  • The time that the bed is needed.

RTM Time (Ready to Move Time)

  • The time that the patient was marked Ready to Move.

Duration

  • The time that the Ready to Move timer ended minus the time that it began. The beginning time is when the patient placement request was activated, The end is when the patient is marked Ready to Move. If the duration is negative, it appears in red. Negative values are excluded from calculations.

Daily Duration Average

  • Average Ready to Move time duration of all compliant placement records for the unit or user for the date.

Group Duration Average

  • Average Ready to Move time duration of all compliant placement records for the unit or user within the selected date range and shift. Compliant placements are those that have positive durations.

Invalid Timer Values

  • The Number of placements with negative Ready to Move timer values for the unit or user within the selected date range and shift.

# of # for % of placements were excluded (missing RTM dates and times)

  • The Number of the total completed placements for this unit or user that were excluded from calculations because they did not have Ready to Move dates and times. The percentage of placements that were excluded for this reason also appears.

Run Report

  • Click Run Report once all fields are populated.

Analyzing the Ready To Move Timer Metrics Report

The above is an example of a generated Ready to Move Timer Metrics report. We will now break down the information to help you better understand how to read the data.

  • Total Records: total number of bed requests generated from the unit(s) per date.

  • Compliant Records: total number of bed requests generated from the unit(s) per date that had an RTM timer activated in the request.

  • % of Placements Excluded- Shows the % of records that were missing an RTM timer. In the above example, if 33% of placements were excluded, this would mean that the unit was 67% compliant with the RTM timer. This calculation provides the Ready to Move Compliance %
