Preadmit
Creating a New PreAdmit Record allows you to admit a new patient and create a placement request. This feature is used by healthcare professionals with the necessary permissions to manage patient admissions efficiently.
Where you can find this feature: Patient Tracking Portal, Clinical Operations, and the electronic bedboard view.
How New Preadmit Works
Functionality
To create a new preadmit record, you need specific permissions:
Maintain Patient/Placement Details (View): Access and view the Patient/Placement Details form, but cannot make changes unless you have specific permissions for individual items.
Maintain Patient/Placement Details (Edit): Access and make changes to the Patient/Placement Details form. Individual permissions are required for specific changes, such as:
Edit Patient Name: Change the patient name.
Edit Patient Associated Physicians: Add or change physician information.
Create New PreAdmits: Create new preadmit records. This permission is required in both PreAdmitTracking and PatientTracking Portal.
Creating a New PreAdmit Record
Access the New PreAdmit Feature:
Click the New PreAdmit icon.
Go to PatientTracking Portal > New PreAdmit.
Go to Clinical Operations > PatientTracking Portal > New PreAdmit icon.
If your health system is configured for multiple instances of the Capacity IQ® Solution, go to Clinical Operations > PatientTracking Portal > [Instance Name] > New PreAdmit icon.
On the electronic bedboard view, click a bed identifier and select Create PreAdmit.
Complete Patient Identifiers:
Last Name, First Name, MI, Suffix: Enter the patient's name (Edit Patient Name permission required). Click Save after entering the patient's name to make the Patient Action menu available.
Alias: Enter an alias if needed and select the Confidential check box. If the patient is transferred to a different unit, the alias will change based on the new unit's configuration.
Search Patient Demographics: Use the Master Patient Index (MPI) to avoid duplicate records. Enter at least the patient's last name, first name, or medical record number/SSN, and click Search Patient Demographics. Select the patient from the search results to complete the Patient Identifiers section automatically.
SSN #: Enter the patient's social security number (Edit Patient Social Security Number permission required).
Date of Birth: Select the patient's birth date. The patient's age will be calculated automatically.
Gender: Select the patient's gender. This assists in finding an appropriate bed.
Age: Enter the patient's age if the date of birth is not selected. The age appears in days, months, or years based on the patient's age.
Medical Record Number: Enter the MRN (Edit Patient MRN permission required). This is used with the visit number to identify the patient.
Visit#: Enter the visit number (Edit Patient Visit Number permission required). This is used with the MRN to identify the patient.
Patient Action
After saving the patient's name, you can perform the following actions:
Set Intake Location
Admit Patient
Send Patient to Procedure
Cancel Placement Request (changes patient status to Visit Cancelled)
Workflows
Entering a New Preadmit
Click the New PreAdmit icon.
Enter the patient's information in the Patient/Placement Details box:
Last Name
First Name
Age/DOB
Gender
Admit Diagnosis
Comments
Origin Unit (where the patient currently is)
Target Unit (if applicable)
Assigned Bed (if applicable)
Save and close the record.
Note: The Origin Unit should always be where the patient physically is. For example, if this is an acute patient being admitted to your unit, the Origin Unit should be the inpatient unit the patient is currently occupying. If the patient is leaving your area and returning to an acute setting, do not target or assign the bed. These steps will be completed by the hospital’s Patient Placement department.
