Notify New
Environmental Services (EVS) supervisors use the Notify New feature to reassign a bed cleaning or spill cleaning job to another employee when the originally notified employee has not yet started the task. This functionality ensures timely job completion when an employee is unavailable or needs to attend to other work.
Where you can find this feature: BedTracking® > Notify New, Care Support > BedTracking® > Notify New, or within the Bed Detail dialog box.
How Notify New Works
Functionality
Job Reassignment: If an assigned employee has not marked a cleaning job as In Progress, a supervisor can reassign the job to another employee.
Notification Handling:
The newly assigned employee receives a notification prompting them to accept the job.
The originally assigned employee receives a cancellation notification.
IVR Support: Supervisors with Supervisor Workflow and Re-Assign Job to Employee (Notify New) permissions can use IVR to perform a reassignment.
Permissions Required
Re-Assign Job to Employee (Notify New) permission is required to use this feature.
Place Bed Cleaning in Progress permission is required for bed cleaning reassignments.
Place Spill Clean in Progress permission is required for spill cleaning reassignments.
Employees without the correct permissions will not appear in the selection list when choosing an employee to reassign.
Supervisors must have access to the unit where the bed is located to perform reassignment.
Required Bed and Spill Clean Status
Bed Cleaning Jobs:
The bed must be in an unclean status: Dirty, Clean Next, Stat, UDEF-8, or UDEF-9.
The job must not have been marked as delayed.
Spill Cleaning Jobs:
The job must not be in In Progress status.
Workflows
Accessing the Notify New Dialog Box
Perform one of the following actions:
Navigate to BedTracking® > Notify New.
Navigate to Care Support > BedTracking® > Notify New.
If multiple Capacity IQ® instances exist, go to Care Support > BedTracking® > <Instance Name> > Notify New.
Click the Notify New icon in the toolbar.
In a bed list, click the bed identifier to open the Bed Detail dialog box, then click Notify New (pre-selects campus and bed).
Selecting a Bed and Employee
In the Notify New dialog box, select a Campus.
If accessed from the Bed Detail dialog, the campus and bed are pre-selected.
If only one campus is available, it is automatically selected.
In the Bed list, type a few characters of the bed identifier to filter options, then select the appropriate bed.
Only beds in units within your membership are available for selection.
In the Employee list, type a few characters of the employee’s first or last name, then select the correct employee.
Only employees with the necessary permissions for bed or spill cleaning will be listed.
Click Send.
Click Close.
Troubleshooting
EVS Employee Not Showing in Notify New
Issue: An EVS employee with the required permissions is not appearing in the Notify New list.
Possible Causes & Solutions:
Employee lacks required permissions → Ensure they have Place Bed Cleaning in Progress or Place Spill Clean in Progress permissions.
Employee is not assigned to the same unit → Employees must have access to the same unit where the selected bed is located.
Only one employee is logged in → Notify New requires at least two employees to be signed in. A single employee cannot be reassigned to themselves.
