Mini Tasks

Mini Tasks are non-transport tasks that transporters can perform. They are used to track non-transport activities that employees are doing outside of patient or item transport jobs. Transporters with the Task Tracking permission can track Mini Tasks through the Interactive Voice Response (IVR) system. Supervisors use this feature to monitor the number of tasks performed rather than their duration. Mini Tasks are assigned only when there are no other transport jobs available and should not take precedence over pending transport jobs. Transporters remain "available" while working on Mini Tasks so that transport jobs can be assigned if needed.

How Mini Tasks Work

Functionality

  • Tracking: Transporters with Task Tracking permission can track Mini Tasks through the IVR system.

  • Assignment: Mini Tasks are assigned only when no other transport jobs are available.

  • Availability: Transporters remain "available" while performing Mini Tasks.

  • Configuration: Mini Tasks must be entered in the Admin Tool or Admin > Settings > Capacity Management component to be available on the IVR.

  • Default Tasks: The Capacity IQ® solution provides some default Mini Tasks that cannot be edited or deleted.

Permissions Required

  • Admin Tool Menu Permission: Required to access the Admin Tool menu or Admin > Settings > Capacity Management.

  • Global Admin Permissions-TransportTracking™ Application Functions-Mini Tasks Permission: Required to complete tasks.

  • Edit Rights: Required to make changes.

  • Membership Type "All" and Administrative Rights: Required for administrative tasks.

Workflows

Adding a Mini Task

  1. Go to Admin Tool > Dictionary Management or Admin > Settings > Capacity Management > Miscellaneous > Dictionary Management.

  2. In the Dictionary Name column, click Mini Tasks.

  3. Click the Add button to add a row.

  4. In the Campus list, select the campus where the Mini Task will be performed.

  5. In the IVR Code column, type a numeric code (IVR ID) greater than 0.

    • The IVR ID must meet the minimum and maximum length requirements set in the Enterprise Wide Settings.

  6. In the Description column, type a description of the task (e.g., Fill oxygen tanks).

    • The description must be unique and no longer than 100 characters.

  7. Click Save.

Editing a Mini Task

  1. Make the appropriate changes in each column.

  2. Click Save.

  3. A confirmation message appears. Click OK.

Deleting a Mini Task

  1. To delete all Mini Tasks, select the checkbox in the first row and first column of the page.

  2. To delete individual Mini Tasks, select the checkboxes for them.

  3. Click Delete Selected Records.

  4. When a confirmation message appears, click OK.
