Appointments
An appointment is a scheduled transport request where a patient or item needs to be moved to a specific destination (e.g., an X-ray room) at a later time. Appointments are used by requesters, such as hospital staff coordinating patient/item transport, to ensure timely arrivals at designated locations. They are used to manage patient flow efficiently, account for lead times, and allow transporters enough time to complete the job without delays. In the application, appointments are set manually when a requester selects "Appointment" as the job status and specifies a future appointment time. The system then automatically changes the request from Appointment to Pending status based on the lead time associated with the destination, ensuring transporters receive notifications at the appropriate time.
Appointments are made Capacity IQ® Transport application and displayed on Capacity IQ® Transport list views.
How Appointments Work
Functionality
Appointments can be scheduled for existing patients or for items that need to be transported.
Appointments have a date and time.
Appointments can be set up to recur daily, weekly, or not at all.
Weekly appointments can be set to occur on specific days of the week.
Daily appointments can be set to occur every day, every other day, or every third - every seventh day.
Recurring appointments are created with a last occurrence day. Once this date is reached, appointments will cease.
When creating an appointment for a patient, you must select the mode of travel, origin, and destination.
An Isolation Type and Travel Requirements can also be selected if needed.
When creating an appointment for an item transport, you must select the item type, origin, and destination.
If an item is needed for a specific patient, the patient can be selected in the appointment request.
If the date or time of a patient's appointment changes or the recurrence of the appointment changes, you can open the transport job request and change it.
Appointments can be requested/created, rescheduled, or cancelled.
To access the Patient Transports tab or Patient Transport Dashboard menu command, you need the Global TeleTracking Technologies Permissions-TransportTracking™ Application Functions-Console Patient Transports Tab (Console Requests Tab) permission.
Only records that are included in your membership scope appear.
Requesters must be assigned to roles that are associated with groups that have the TransportTracking™ Functions-User may edit patient transports permission.
If a requester's membership gives them access to the selected patient, then the requester may request to move that patient from any origin to any destination.
Appointments are released to Pending status automatically, depending on the lead time that has been set for the destination location. However, you may release an appointment manually using the Release Job button
Rescheduling a Patient's Appointment
Follow the instructions in Accessing Information About Transport Job Requests.
In the Job column, click the identification number for the transport job request that you want to change.
To change an appointment date or time, follow the scheduling steps in Adding a Request for a Patient Transport Job.
To change when the appointment recurs (for example, to change a daily appointment to a weekly appointment or change an appointment that is every Tuesday to every Wednesday), follow the recurring appointment steps in Adding a Request for a Patient Transport Job.
Click Save.
To close the request, click the X in the upper-right corner.
