What’s New in Capacity IQ®

Overview

Whether you’ve recently re-engaged with the platform or are supporting its implementation at your current facility, this quick reference will help you get up to speed.

While much of the core functionality remains familiar, a number of interface changes, feature updates, and navigation adjustments have been introduced to improve efficiency and user experience. This guide will highlight those key changes — especially those that impact platform configuration, user management, and day-to-day administrative workflows.

This guide is intended for Operations IQ® Platform and Capacity IQ® administrators — individuals responsible for configuring platform settings, managing users, and maintaining the dictionary and location data that supports organizational workflows.

Accessing the Admin Tool

The Admin Tool has moved!

You can now find it by navigating to:

Admin > Settings > Capacity Management.

While the layout may look a little different, all the same functionality is still available — just in a new location.


Creating and Managing Users

To create a new user in the Operations IQ® Platform:

  1. Go to Admin > Users

  2. Click the + Create Account button

  3. Fill in at least the required fields:

    • Username

    • Last Name

    • First Name

    • Email (must match the user's internal email address)

    • User Role (use Capacity Management User if you're setting up a Capacity IQ® user)

  4. Add any additional information as needed

  5. Click Create Account to save

Accessing and Editing a User Profile

Once a user account has been created, you can view and manage their profile within the platform.

  1. Go to Admin > Users

  2. Search for and select the user by clicking anywhere in their row

  3. Scroll down to the Capacity Management Suite™ Information section

  4. Click Access Permissions to open the user’s profile

From here, you can view and edit the user’s access settings as needed.

Note: The Access Permissions link only appears after the user has logged into the platform at least once.


Working with Dictionaries

Recent updates to dictionaries have introduced both location changes and expanded functionality.

Capacity IQ® Dictionaries

Capacity IQ® Dictionaries have moved.

You can now access it by navigating to:

Admin > Settings > Capacity Management > Dictionary Management (found under the Miscellaneous section)

This is where you’ll configure and maintain dictionary items specific to Capacity IQ®.

Platform Dictionaries

Platform Dictionaries have been introduced. These dictionaries are shared across all Operations IQ® applications (Data IQ®, Transfer IQ®, etc.).

Platform Dictionaries can be found at:

Admin > Data > Dictionaries

To use Platform Dictionaries, start by selecting a dictionary from the drop-down menu. Once selected, you can add, edit (pencil icon), or delete (trash can icon) entries.

Some dictionaries here are populated by Capacity IQ®.

These inherited entries:

  • Cannot be edited from the Platform Dictionary view

  • Cannot be added to from this location

To make changes, go back to the Capacity IQ® Dictionary section under Admin > Settings > Capacity Management.

Example:
Level of Care is an inherited dictionary. It appears in the Platform Dictionary list but must be edited in the Capacity IQ® Dictionary section.


Navigating the Platform

The main navigation has been updated to better organize tools by operational area.

  • Capacity IQ® PreAdmit and Patient Tracking Portal are now found under:
    Clinical Operations

  • Capacity IQ® EVS and Capacity IQ® Transport are now found under:
    Care Support

The Standard Reports section has also been renamed to Reports — functionality remains the same, only the label has changed.

  • Reports for PreAdmit and Patient Tracking Portal are available under:
    Clinical Operations > Reports

  • Reports for EVS and Transport are available under:
    Care Support > Reports

These changes make it easier to navigate the platform and locate tools based on your area of responsibility.


Managing Settings

Master Configuration

Master Configuration settings are still available if you have access. These are environment settings for Capacity IQ®.

You can now find the Master Configuration settings at:

Admin > Settings > Capacity Management > Master Configuration
(under the Miscellaneous section)

Platform Settings

The new Platform Settings section allows administrators to configure settings that apply across the entire Operations IQ® Platform.

You can access the Platform Settings at:

Admin > Settings > Platform Settings

A commonly used setting here is the Inactivity Timeout, which controls how long a user session remains active before logging out due to inactivity.

Use Platform Settings for platform-wide behavior, and Master Configuration for Capacity IQ®-specific setup.
