TeleTracking Transporter Mobile Application


Steps

Signing In

  1. Tap the Transporter App icon on your smartphone device.

  2. At the sign-in screen enter your username and password. If you don’t know this information see your Department Manager.

  3. Tap Sign In.

NOTE: Transporters with fixed memberships to multiple campuses and a variable assignment will then be asked to select the campus at which they are working for the day.

Assignment

  1. Tap All Sections and Zones and Let’s Get Started - if you are working in all areas of the hospital.

  2. Tap Specific Sections and Zones and Let’s Get Started - if your primary assignment is specific areas of the hospital but you may receive jobs from other areas.

    1. The list of Sections and Zones will appear. Choose as many as applicable.

    2. Tap Submit.

  3. Tap Exclusive Sections and Zones and Let’s Get Started - if your primary assignment is specific areas of the hospital and you WILL NOT receive jobs from other areas.

    1. The list of Sections and Zones will appear. Choose as many as applicable.

    2. Tap Submit.

Job Screen Overview

  1. Break – Place yourself on a break. Either Lunch or Scheduled.

  2. Mini-Tasks – Select tasks as needed. Requires special permissions.

  3. Job List – Requires advanced permissions in order to self-dispatch.

  4. Messages – Access messages sent to you and send messages.

  5. Jobs – Returns you to this screen and displays your next job.

  6. Settings – Access the Message Groups, Notification Sounds, Color Theme, and Sign Out button. (Notification Sounds is available on v24.02 or later of the application)

Job Requests

Job Notifications

  1. You will receive a JOB FOR YOU notification, which will display at the top of the screen when a transport is requested within your assigned area.

  2. Tap on the JOB FOR YOU notification or open the application and go to the JOBS screen to view the job details.

Accepting a Job - Dispatched

  1. The Job Details will include:

    1. Patient Name and other patient identifiers

    2. Origin/Destination

    3. Isolation

    4. Mode of Transport

    5. Transport Requirements

  2. Tap Accept Job.

  3. You will then be prompted to Tap “Yes” to become Dispatched.

NOTE: If your department transports equipment and other non-patient jobs, you will see those job details.

Moving The Patient Or Item - In Progress

  1. Your current status of Dispatched will be noted at the top.

  2. All of the job details will be displayed.

  3. Tap Go In Progress once you are ready to move the patient or item.

  4. You will then be prompted to Tap “Yes“ go “In Progress”.

Completing a Job

  1. Your current status of “In Progress” will be noted at the top.

  2. All of the job details will be displayed.

  3. Tap Complete Job.

  4. You will then be prompted to tap “Yes” which Completes the Job.

Cancelling A Job

  1. Tap More Options when in the “Dispatched” or “In Progress” status.

  3. Tap the Reason for Cancellation drop-down box and the list of Reason Codes will appear.

  4. Tap the applicable Reason for Cancellation.

  5. The reason will now appear in the drop-down box. Tap “Yes”, Cancel Job..

  6. The job is now cancelled and you will return back to the Jobs screen.

  7. Tap “No”, to Return to the Job if you are not cancelling the job.

Delaying a Job

  1. Tap More Options when in the “Dispatched” or “In Progress” status.

  2. Tap “Delay job”.

  3. Tap the Reason for Delay drop-down box and a list of Reason Codes will appear.

  4. Tap the applicable Reason for Delay.

  5. The reason will now appear in the drop-down box. Tap “Yes”, Delay Job.

  6. The job is now in a status of delay.

  7. Tap “No, Return to Job” to not delay the job.

NOTE: While delayed the transporter will remain on that job and not be offered another job. Be sure to follow your department’s standards for time on a delayed job.

Resume a Delayed Job

  1. Your current status of “Delayed” will appear at the top.

  2. Tap More Options.

  3. Tap Resume Job to return to the previous status of either “Dispatched” or “In Progress”.

  4. You will then be prompted to Tap “Yes” to resume the job.

Request Assistance

  1. Tap More Options when in the “Dispatched” or “In Progress” status.

  2. Tap “Request Assistance”.

  3. Tap the “Select Number of Transporters” Needed drop-down box.

  4. Tap the total number of transporters needed for the job including yourself.

    1. For example, if you need 1 transporter to assist you, Tap 2

  5. Tap “Request Assistance”.

  6. Tap “No, Return to Job” to NOT request assistance.

  7. You are now Waiting for another transporter to be dispatched.

  8. Once the other transporter has accepted the job, the primary transporter will be able to advance the job.

NOTE: You are the primary transporter of the job and are the only transporter with the ability to control the job.

To release the assisting transporter(s), repeat steps 1 to 5, selecting 1 as the number of transporters needed.

Reschedule a Job

  1. Tap “More Options” when in the “Dispatched” or “In Progress” status.

  3. Tap the “Reason for Rescheduling” drop-down box. Tap the applicable reason.

  4. Tap the “Time Before Job is Sent For Transport Assignment” drop-down box. Please note the lead time for the destination will be listed.

    1. Important: If you Tap a time equal to or less than the destination lead time, the job will be sent for transport assignment immediately.

  5. Tap the number of minutes when the job will be sent for Transport Assignment.

    1. Tap a time equal to the lead time plus the number of minutes you want the job sent to a transporter.

    2. For example, if the lead time is 30 minutes and you want the job sent to a transporter in 15 minutes, Tap 45 min.

  6. You will see the message stating when the job will be sent for transport assignment.

    1. If that is not correct, tap “No, Return to Job” and you may go back to step 1 to reschedule the job.

  7. If the transport assignment time is correct, Tap “Yes, Reschedule Job”.

    1. You will see the message stating The job was rescheduled successfully. The job will be sent for assignment to a transporter at the stated time and you are now available for another job.

Round Trip - Allows the Transporter To Stay With the Patient

  1. Tap “More Options” when in the In Progress status.

  3. You will be prompted to tap “Yes” to mark the trip complete and create a new trip for the return.

  4. Your status will now be “Dispatched”.

  5. Once the patient is ready to return, tap “Go In Progress”. Follow the above instructions for advancing the job.

Note: Follow your department protocols for utilizing the Round Trip feature

Create A Return Equipment Job - Allows Transporter To Return Equipment

  1. Tap “More Options” when in the “In Progress” status.

  3. If you are returning the equipment back to the origin, tap “Return Equipment to Origin” and “Yes, Return Equipment”.

  4. You will then be “In Progress” for the “Equipment Return Task”.

  5. Tap “Complete Job” when you have returned the equipment.

    1. You will then be available for a new job.

  6. If you are returning the equipment to a different location tap “Return Equipment to Different Location” and “Yes, Return Equipment”.

  7. Tap on the search location box and a keypad will appear. Enter the IVR ID of the location and tap “Done”. See your Department Manager for the list of location IVR ID numbers.

  8. The Location Name will appear. If that is correct tap “Yes, Return Equipment”.

  9. You will then be “In Progress” for the “Equipment Return Task”.

  10. Tap “Complete Job” when you have returned the equipment.

    1. You will then be available for a new job.

Self Dispatch - Allows The transporter To Select Their Job. Requires Advanced Permissions.

  1. Tap “Job List” on the top navigation bar.

  2. All of the Pending jobs within your assignment will appear.

  3. Tap the appropriate job and the options menu will appear.

  4. Tap “Accept Job”.

  5. You will then be prompted to tap “Yes” to become “Dispatched”. Following the instructions in the above sections for advancing a job.

Note: This is an advanced feature that requires the following permissions enabled: Supervisor Workflow and Self-Dispatch.

Entering A Mini Task

  1. Tap “Mini-Tasks” on the top navigation bar.

  2. Tap the “Select a Mini-Task” drop-down box. A list of tasks will appear.

  4. The task type will appear in the drop-down box. Tap “Mark Mini-Task Done”.

  5. A message will appear indicating the mini-task was completed successfully.

NOTE: See your Department Manager on when you should perform a mini-task.

Other Functions

Messages - View Messages

  1. You may periodically receive messages from your Supervisor or other system users.

  2. Tap “Messages” in the bottom navigation bar. A “blue dot” appears next to messages that you have not read. The first few lines of the message appear along with the time since the message was received.

  3. To view the full message tap the “green arrow” on the message.

  4. Tap Dismiss to delete the message.

Messages - Create A New Message

  1. Tap “Messages” in the bottom navigation bar to view.

  2. Tap the pencil and paper “Create Message” icon on the top navigation bar.

  3. The New Message page appears.

  4. Tap the To box and begin typing the name of someone you want to send a message to. Users that match and are currently signed in will appear below.

  5. Tap their name and tap the return button on the keypad.

  6. Tap the text box and type your message.

  9. A message will appear stating that the Message was successfully sent.

Messages - Replying To A Message

  1. While viewing the message details, tap “Reply All” or “Reply”.

  2. Tap the text box and the keypad will appear.

  3. Type your message and tap the return button on the keypad.

  4. Tap “Send”. A message will appear stating that the Message was successfully sent.

Taking A Scheduled Break

  1. Tap “Break” from the top navigation bar of the Jobs screen.

  2. Tap the “Select Break Type” drop-down box and the types of breaks will appear.

  3. A message will appear stating You are currently on your break.

  4. Your break has now begun.

Returning From A Break

  1. From the Jobs screen tap “Return to Work”.

  2. Tap “OK” to return to work and become available for your next job.

Notification Sounds

  • Depending on the version of the app you are using, users will have the ability to customize their notification sounds when receiving jobs and notifications. To view\change your notification sounds within the mobile application, tap Settings. Next tap Notification Sound.

NOTE: This feature is available with version 2024.02 or later.

  1. In the Notification Sound screen, you will be able to preview and select a notification sound for use with the mobile application.

  2. To preview a sound, tap the play icon located to the far right of a sound. Make sure your mobile device is not set to silent or the device volume is too low to properly preview the notification sound.

  3. To set a notification sound for the mobile application, tap the radio button(circle) to the left of the desired notification sound and tap Submit.

Changing Color Theme

  1. Tap “Settings” from the bottom navigation bar of the Jobs screen.

  2. You may either tap the “Light Theme” or “Dark Theme”. Use the color scheme that works best for you.

Signing Out

  1. Tap “Settings” from the bottom navigation bar of the Jobs screen.

  2. Tap the “Sign-Out” button to sign out of the application.

  4. This will return you to the Sign-in screen. You are now signed out of the application.
