Pending Status Compliance Report

The Pending Status Compliance Report provides an overview of usage for entering transfer bed requests and updating discharge statuses. The report compares the number of pending transfers or discharges to the number of actual events for each. The primary reason to run this report is to monitor compliance with setting discharge statuses which is a vital component to efficient patient flow and a reportable best practice metric. However, transfer compliance should also be closely monitored to ensure that bed requests are not being made outside of the system.

Generating The Pending Status Compliance Report

Database - Where Your Facility's Data Is Stored

  • Production - Data that is stored in the production database (this is your current data).

    • Use when live up-to-the-minute data is needed.

    • Contains the data from the current time and for the past number of days as defined in Archive Management. This is typically 7 days but may range between 1 and 30 days. If you do not know the number of days, your TeleTracking System Administrator should be able to assist.

  • Archive - Data that is stored in the archive database (this is your older data).

    • Does not capture data for the current day.

    • Users can access reports as far back as the go-live date.

Campus

  • Defaults to your campus. The only exception is if you have access to multiple campuses. If you have membership in multiple campuses (for example, ABC Children's Hospital and ABC Women's Hospital), then in the Campus list, select the campus for which you wish to generate a report.

Unit Selection

  • Magnifying Glass

    • Clicking on the magnifying glass allows you to select specific units.

    • If no units are selected, the report will run for all units by default.

Date & Time

  • Discharge/Transfer Date

    • Click on the Calendar Icon to select the needed dates.

  • Shift Time

    • The system defaults to the entire day however, you may want to isolate specific shifts if you are trying to investigate issues with not meeting metrics.

Output

  • Choose the format of the report data. Options include Adobe and Excel.

  • Run Report

    • Click Run Report once all fields are populated.

Analyzing The Pending Status Compliance Report

The report is divided into two separate data points, Transfer Bed Request Compliance and Discharge Compliance.

Transfers

  • Unit - Each unit’s metrics will be displayed and the overall total of all units will be at the bottom of the report.

  • Pending - The number of times a patient moved from one inpatient bed to another and was accompanied by bed requests in the system.

  • Actual - The actual number of times a patient moved from one inpatient bed to another regardless of a bed request being entered.

  • Compliance - % of compliance based on the number of pending vs actual bed requests.

    • Note: Although we do not capture the best practice metric related to transfer compliance, we would expect to see this % close to 100%. If this number is low, it is indicative of transfers occurring without notifying Patient Placement.

Discharges

  • Pending - The number of times a patient’s status was changed to a Pending Discharge.

  • Actual - The total number of actual patient discharges from each unit.

  • Pending Compliance - Percentage of pending compliance. Calculated by dividing the Pending total by the Actual total. This metric represents Pending Discharge Compliance.

  • Confirmed - The number of times a patient’s status was changed to a Confirmed Discharge.

  • Confirmed Compliance - Percentage of confirmed compliance. Calculated by dividing the Confirmed total by the Actual total. This metric represents Confirmed Discharge Compliance.

    • Note: For sites that have Confirmed Discharges interfaced, it is not uncommon for the metrics to not be at 100%. Potential reasons for this could be interface downtime, patients leaving against medical advice, deceased patients, or orders not being entered by the provider.

  • Total Discharge Compliance % - Number of discharged patients who have been in both a Pending Discharge status and a Confirmed Discharge status divided by the actual number of discharges.
